Turn client bank and card statements into reconciliation-ready rows
Month-end is a pile of PDFs from clients who will never export a CSV. SheetFerry maps statements into date, description, reference and amount columns that drop straight into your workbook.
20 free credits • No credit card • Cancel anytime
- Smart Template Detection maps common statement layouts automatically
- Export to .xlsx or Google Sheets, then import to QuickBooks or Xero
- Client documents are processed in memory and never stored
Where it earns its keep
Six situations practices hit every month, and what SheetFerry does with each one.
Monthly bank reconciliation
A client sends twelve months of statements as PDFs because their bank only offers PDF downloads past 90 days.
Upload the batch and get uniform date / description / reference / amount columns for every month in one workbook.
Credit card statement coding
Chase, Amex, Citi and Capital One statements all lay out transactions differently.
Template detection normalizes them into the same column structure, so your coding rules work across every issuer.
Vendor bills and receipts
Itemized invoices need line-level detail for job costing or class tracking.
Line items, quantities and totals come back as rows instead of a paragraph of extracted text.
Payroll registers
The payroll provider only issues a PDF register, but you need the detail for a journal entry.
Earnings, taxes and deductions land in columns you can pivot into a summarized entry.
Catch-up and clean-up work
You take on a client who is nine months behind with nothing but statement PDFs.
Batch conversion turns the backlog into spreadsheets in an afternoon instead of a week of data entry.
Exception review before reconciling
You want to spot unusual activity before working the statement line by line.
An AI summary flags large or atypical items so you review exceptions first, then reconcile the rest quickly.
Documents it handles every week
- Bank statements from any institution, including scans
- Credit card statements (Chase, Amex, Citi, Capital One and more)
- Vendor bills, receipts and itemized invoices
- Payroll registers and benefit summaries
- Merchant processor and marketplace payout reports
- Tax forms: W-9, W-2, 1099-NEC and 1099-MISC
Sizing your plan
Volume drives the plan here. Twenty clients at three statements each is roughly sixty conversions a month, which Professional (500 credits) covers comfortably. Solo bookkeepers with a handful of clients start on Starter; multi-bookkeeper firms move to Business for the shared credit pool and per-member usage reporting.
How SheetFerry actually works
Four stages, a few seconds each. Here is what happens between dropping in a PDF and opening the spreadsheet.
1. You upload the PDF
Drag in a file up to 50MB, or select several at once for batch processing. The file goes straight into memory on our servers — it is never written to permanent storage, and everything is discarded as soon as your download is ready. Digital PDFs and scanned or photocopied pages are both accepted.
- Single file or batch upload
- Scanned pages handled by AI vision
- Files deleted immediately after processing
2. You choose how it should be read
Simple extraction pulls text and table structure directly from the PDF layer — fast, cheap, and accurate when the document was generated by software. Complex AI extraction runs a vision model over the page image instead, which is what you want for merged cells, multi-column layouts, rotated tables, or anything scanned. The estimated credit cost appears before you commit.
- Simple: 1 credit, best for clean digital tables
- Complex AI: 3-10 credits, scaled by page count and difficulty
- Cost estimate shown before conversion starts
3. The AI maps the document
Smart Template Detection checks whether the document matches a known layout — a bank or credit card statement, a rent roll, a W-9 or 1099 — and applies the right column mapping automatically. Anything unrecognized still gets generic table detection: each table found becomes its own worksheet, with headers preserved and rows aligned.
- Recognizes common statement and tax-form layouts
- One worksheet per detected table
- Header rows and multi-page tables stitched together
4. You get spreadsheet data back
Download the result as an .xlsx file, or send it straight to Google Sheets with one click. Optional extras run on the same upload: an AI document summary as a Word file (brief overview or detailed analysis), and Visual Analysis, which builds charts and trend lines from the extracted numbers.
- Excel (.xlsx) download or one-click Google Sheets export
- Optional AI summary delivered as a Word document
- Optional Visual Analysis charts and exportable PDF report
What happens to your files
Processing is in-memory and files are deleted right after conversion. Nothing is retained for training, nothing is shared, and there is no permanent copy of a client statement or an appraisal draft sitting on a server. That matters when the documents belong to someone else.
How credits work
Every plan comes with a monthly credit allowance. A simple conversion is 1 credit; AI-powered conversion is 3-10 depending on complexity; Visual Analysis is 8; spreadsheet analysis is 4-8 by data size. You always see the estimate first, and unused features never cost you anything. Extra credits can be purchased at any time without changing plans.
How bookkeepers run a month-end close with SheetFerry
Three example workflows built from the way appraisers and bookkeepers actually work — upload, convert, analyze, export.
Bookkeeping & accounting practice
Closing the books for 15 clients whose banks only send PDFs
A bookkeeping practice handles month-end for clients on small regional banks that offer no CSV export — only PDF statements and credit card summaries.
Before
Two full days of keying transactions before reconciliation could even start.
After
A single morning, with the rest of the week left for advisory work.
- 1. Upload
Upload each client's statements and card summaries as a batch — 15 clients, roughly 40 PDFs.
- 2. Convert
Debits and credits land in separate addable columns with dates parsed and currency formatting applied, so the running balance still foots.
- 3. Analyze
Spot recurring vendors and month-over-month spend shifts in the charts, and let an AI summary flag duplicate or unusual transactions before they hit the ledger.
- 4. Export
Export a .xlsx shaped for the QuickBooks or Xero import template, then reconcile without touching a keyboard shortcut for retyping.
Result: Reconciliation starts with clean data, so the close is about reviewing exceptions instead of chasing typos.
